1. Who we are

GATE Prep WA ("we", "us") operates the website gateprepwa.com and related services for GATE/ASET exam practice in Western Australia. This policy explains how we handle personal information.

2. Information we collect

Depending on how you use the service, we may collect:

• Account details — parent/student name, email address, login credentials (passwords are stored hashed; student PINs are stored hashed).
• Practice data — answers, scores, timed session results, writing submissions, mistake-book entries, and study-plan progress.
• Payment information — billing is processed by Stripe. We do not store full card numbers; we may store Stripe transaction IDs, plan status, and payment metadata.
• Support & feedback — messages you send us, feedback tickets, and optional page URLs attached to reports.
• Technical data — IP address, browser type, and security/rate-limit logs needed to protect the service.

3. How we use information

• Provide and improve practice features, scoring, and parent dashboards.
• Process subscriptions and one-off purchases.
• Send service emails (e.g. password reset, parent approval, optional weekly progress summaries).
• Respond to support requests and feedback.
• Protect against fraud, abuse, and unauthorized access.

4. AI writing review

If you use AI writing feedback, student writing text may be sent to a configured AI provider (e.g. OpenAI) solely to generate rubric-style feedback. Do not include unnecessary personal information in writing responses. Provider terms and data handling apply to that processing.

5. Parent and student accounts

Parents register and manage linked student accounts. Parent dashboards show performance data only for students linked to that parent account. Students should not share login details with others.

6. Who we share information with

We do not sell personal information. We share data only with service providers needed to run the platform, such as:

• Stripe — payment processing
• Resend (or similar) — transactional email, if configured
• AI providers — only when AI writing review is used
• Infrastructure providers — hosting and database storage for the application

We may also disclose information if required by law.

7. Storage and security

Data is stored on secure servers (including SQLite database files on our hosting infrastructure). We use industry-standard measures such as HTTPS, hashed passwords, and access controls. No method of transmission or storage is 100% secure.

8. Retention

We keep account and practice data while your account is active and as needed to provide the service, comply with law, resolve disputes, and enforce our Terms of Service. You may request deletion by contacting us.

9. Your rights

Under the Australian Privacy Act 1988 and Australian Privacy Principles (APPs), you may request access to or correction of personal information we hold about you. Contact us using the details below. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC).

10. Children

Student accounts are intended to be created and managed by a parent or guardian. If you believe we have collected information about a child without appropriate consent, please contact us so we can review and remove it where appropriate.

11. Cookies and analytics

We use session cookies required for login and security. We do not use third-party advertising cookies on the practice platform.

12. Changes

We may update this policy from time to time. The "Last updated" date at the top will change when we do. Material changes may also be noted on the website.
